The real cost of that registration software

I recently had a conversation with someone about the cost of an upcoming half-marathon in Vancouver. In particular the conversation was about registration systems for sporting events and this one just happened to be the example of which we spoke. As a result of that conversation I was inspired to write this post. Why you ask? Well, this particular event is using what is commonly referred to as a free or low-cost registration software.

I have a had a couple of these conversations over the years and I am always a bit baffled afterwards. To be honest, we know we attract a different customer. One looking for a great deal of value and customization in their investment and with Event Wizard®, that’s exactly what you get. But, I’m getting off topic, let’s get back to the Why?

Easy, the “free” software is far from it. Let’s take this running event as an example, but I’ll reduce the cost slightly and the numbers expected so as not to make the organizer feel too, erm…less rich.

  • The cost to register for this event is $116.00
  • The event expects 5000 participants. This is pretty standard for a large scale running race.
  • The software company charges 2.5% + CA$0.99 per registration

This means the event organizer is paying $2.90 + $0.99 = $3.89 per registration.  With 5000 runners expected to participate the total registration cost would be $19,450.00.  Yes, you read that right, $19,450.00!

This is just one event. There is no Unlimited Annual License option for this organizer so they can spread their cost over a 12 month period and multiple events. They must pay that for the one event and be done with it.
